Job Description

The Accounting Assistant for Recreation, Parks and Culture is responsible for department support for Supply Chain Management activities, specifically Accounts Payable and Purchase Orders. With meticulous attention to detail, this role reviews expenditures for accuracy, timeliness and adherence to corporate policies and procedures. The Accounting Assistant provides valuable support to the accounting team by assisting with reoccurring journal entries, offering reporting support and contributing to cash balancing activities.


 


Key Responsibilities:


  • Main point of contact for department supply chain management requisition creation, payment and invoice inquires
  • Run and review monthly reports to distribute to Cost Center Supervisors, including reports to further investigate and resolve variances
  • Process One Time Payments and Non-PO Invoices using applicable Corporate forms
  • Conduct monthly and year end reviews of Open PO’s to support RPC Accountants, as well as support the Accountant II to process any manual quarterly and year end accruals
  • Respond to Vendor, Corporate Payables and Department Staff enquiries relating to outstanding invoices and payments
  • Provide additional training, troubleshooting support and guidance to department staff on how to Oracle business processes
  • Communication with Procurement services on various procurement inquiries such as processing change orders and troubleshooting on purchase requisition and/or receiving issues
  • Review and recommend department processes and procedures relating to Supply Chain Management to Accountant II to ensure continuous department improvements
  • Participate in Corporate Oracle Supply Chain Management updates and training to provide recommendations on department processes
  • Assist Recreation, Parks and Culture Finance team with various general accounting tasks such as accrual investigation and monthly journal entries
  • Complete daily cash reconciliations for the Broadmoor Public Golf Course and assist with facility cash audits
  • Support Corporate Treasury Services with replacing and/or writing off stale dated cheques


 


Qualifications and Skills: 


  • High School Diploma and 5 years related experience
  • Working knowledge of Microsoft Office Suite
  • General Accounting knowledge is required
  • Knowledge of Oracle and SharePoint would be considered an asset
  • Ability to recognize and flag items that require further investigation as well as come to a resolution to issue
  • Provide input and suggestions for improvement regarding policies and procedures to increase accuracy and timely processing of invoices
  • High attention to detail
  • Ability to adjust to competing demands and frequent changing priorities 
  • Strong time management skills
