Job Description

Working in the Financial and Strategic Services department at Strathcona County, the Administrative Assistant provides high-level confidential administrative support to the Financial Reporting, and Treasury Services branches of the department. 


This posting is for one full time temporary position up to 2 years.


Key Responsibilities:


  • Provide comprehensive and proficient overall administrative support to the Manager, Financial Reporting, the Financial Reporting team, the Manager, Treasury Services and Treasury Services team, and the Financial and Strategic Services department 
  • Draft, format, and proofread reports and presentations to Council, Executive Team, and various other parties. Ensure accuracy and conformance with department and County communication standards 
  • Schedule, organize and assist with internal and external meetings, workshops and events for the Financial Reporting and Treasury Services branches 
  • Draft meeting agendas and minutes for various meetings, draft resulting correspondence, track outstanding matters and help ensure they are acted on. 
  • Research and compile information and resource materials for reports and specialized projects As a records representative for Financial and Strategic Services, responsible for the proper retention and safekeeping of official County records in accordance with its retention schedule. 
  • Provide support to the department’s Director in the absence of the Administrative Assistant II and provide coverage for other administrative staff in the department as required 
  • Process expense claims, complete purchase requisitions and receiving, and prepare non-PO invoices in the financial system as required 
  • Maintain Financial Reporting’s and Treasury’s SharePoint site, and assist users as required 
  • Perform general administrative tasks as delegated by the Managers 


Qualifications and Skills:


  • Post-secondary certificate or diploma in office administration or a related field is an asset 
  • Five years related administrative work experience or equivalent is required
  • Experience providing administrative support to a manager or as a senior administrative team member 
  • Municipal government experience would be considered an asset 
  • General understanding or experience in a financial environment would be an asset 
  • Experience using Oracle would be considered an asset
  • High level of organizational and administrative skills with the ability to multi-task and adapt to changing priorities while working under pressure to meet deadlines    
  • Excellent interpersonal, written, and verbal communication skills 
  • Advanced knowledge of software applications (Microsoft Office Suite, Outlook, Adobe, etc.) coupled with the ability to adapt and develop new skills and methods to meet changing operational service and technological demands of the workplace. 
  • Ability to recognize matters of a confidential nature and handle in a discreet, professional manner 
  • Proven ability to work with minimal supervision and within a team environment 
  • Excellent analytical, investigative, and problem-solving skills with a high attention to detail 
  • Ability to take initiative and problem solve
