Are you a people-focused professional who thrives in a fast-paced environment and enjoys keeping things running smoothly behind the scenes? We’re looking for an Administrative Support Assistant II to be the friendly first point of contact for residents, guests, contractors, and staff.
In this role, you’ll provide top-notch customer service, handle a variety of front-line inquiries, and support multiple departments with essential administrative tasks—from managing service requests and permits to keeping supplies stocked and operations organized.
Key Responsibilities:
- Serve as the first point of contact for Transportation Engineering and Operations (TEO) by answering the main phone line, as well as greet and direct walk-in visitors
- Provide accurate and timely information to residents regarding departmental services
- Direct inquiries (phone, email, in-person) to the appropriate staff or department
- Monitor the main Transportation email inbox and forward to the appropriate branch or staff member
- Accurately enter and manage service cases in County Connect, monitor and highlight service request trends, as well as identify and suggest process improvements
- Triage incoming resident issues, determine appropriate handling, and escalate cases when necessary
- Coordinate and manage meeting room bookings, ensure room conditions are maintained, and provide setup and support for training rooms
- Order and maintain stock office supplies and ensure kitchen and coffee areas are stocked with supplies
- Process payments, sort and distribute incoming/outgoing mail, as well as assist with mailouts
- Process block party permits and provide support for other permit types as required
- Provide administrative support as required, including coverage during staff vacations
Qualifications and Skills:
- High School Diploma with a 3 to 5 years of related customer service experience
- Positive and professional attitude with strong communication skills to facilitate positive interactions with diverse groups of individuals including residents, guests, contractors, and staff
- Adaptable with strong organizational skills
- Self-motivated and resourceful, with the ability to exercise good judgment
- Quick decision making and problem-solving skills with the ability to shift focus between tasks without compromising accuracy or professionalism
- Proficiency in Microsoft 365, SharePoint, Oracle and County Connect would be an asset
Conditions of Employment:
Ability to perform physical labour as required including lifting, bending, and twisting
