Job Description
Strathcona County Emergency Services is seeking an Administrative Assistant to provide high-level confidential administrative support to the Deputy Chief, Strategic Services and the divisional leadership team, consisting of Finance, Marketing and Communication, Emergency Communications and the Contract Advisor. This role requires a high level of demonstrated competence and knowledge of organizational and administrative skills with the ability to multi-task and adapt to changing priorities while working under pressure to meet deadlines.
Key Responsibilities
- Manage schedules to meet deadlines and commitments
- Assist in the preparation of correspondence, documents, reports, presentations, and policies to ensure accuracy, context and political acumen
- Record/prepare and distribute meeting agendas and minutes to ensure information is communicated to pertinent stakeholders
- Liaise with government agencies and external and internal stakeholders
- Support the departmental quality management systems (QMS)
- Manage corporate records as required by a departmental records representative
- Manage divisional forms in accordance with the corporate forms program as a forms representative
- Manage shared departmental services such as phones, mail, shredding and supplies
- Support department contract management processes and procedures
- Assist with departmental mobile device management system
Qualifications and Skills
- High School Diploma with a minimum of five (5) years related experience in a senior administrative capacity is required
- Office administration certificate from an accredited program/institution is an asset
- Extensive knowledge and experience in both customer service and computer applications (Word, Excel, PowerPoint, Outlook, Adobe, SharePoint) with the ability to learn County specific systems such as, eScribe and County Connect.
- Excellent interpersonal, written and verbal communication skills
- Ability to recognize matters of a confidential nature and handle in a discreet, professional manner
- Strong knowledge of corporate culture and organizational structure
- Ability to work with minimal supervision and within a team environment
- Ability to maintain a positive and professional image and to provide outstanding customer service to multiple internal and external customers via telephone, email, and in person
- Experience with contract administration is an asset
- Experience in a municipal or emergency services organization is an asset
- Incident Command System (ICS) 100 training is an asset
A uniform is required in this Emergency Services position, which will be provided.
