This posting is for 1 temporary full-time position up to 14 months
The Administrative Assistant I plays a key role in supporting department leadership by delivering comprehensive administrative services in a fast-paced, high-volume environment.
This role requires a high degree of independence, initiative, and professionalism to proactively anticipate and address the needs of managers, ensuring seamless operations within the Family and Community Services department. Comfort in working with social issues and supporting vulnerable populations is essential to the success in this role.
Key Responsibilities:
Act as a first point of contact for the manager’s office; use discretion and judgement regarding the flow of information and confidentiality; evaluate incoming issues requiring immediate attention; and develop preliminary action plans, acting independently as required
Oversee specialized projects from start to finish (i.e. community-wide training sessions, taking new program workflows and developing new corporate forms and waivers while ensuring they meet Strathcona County standards)
Research and compile statistical reports requiring a comprehensive knowledge and understanding of casework database (NewOrg)
Research, compile, and coordinate information to prepare professional documentation including presentations, briefings, proposals and correspondence adhering to County standards
Coordinate onboarding/offboarding of staff including assets, security access, access to electronic resources and orientation to administrative processes
Problem solve complaints, respond to and follow-up on inquiries about services, venues, policies, procedures, operations, inter-government affairs, contracts, licenses and legal documents
Lead and manage projects as assigned ensuring objectives and expectations are met, this includes event planning, management and hosting of community wide supplier hosted training activities and events
Assist in the administration, coordination, preparation and execution of government grants and contracts
Effectively participate and collaborate with members of the department administrative team to complete priority tasks and provide coverage
Qualifications and Skills:
High School diploma with five years of diverse office administration experience
Diploma or certificate in office administration is an asset
Municipal government experience in a related role is preferred; experience working in a Social Services setting would be considered an asset
Experience working with Microsoft office suite is required
Ability to perform tasks with reliability, honesty, discretion and confidentiality
Ability to use independent judgement in competing tasks, meeting deadlines and managing priority changes
Displays control and flexibility in uncertain or stressful situations; anticipates issues, recommends responses and adjusts accordingly
Demonstrates leadership through willingness to assist others, takes initiative and encourages others
Ability to work independently, with flexibility and adaptability
Demonstrates strong interpersonal and communication skills and the ability to work with a wide range of community partners and organizations in a diverse community
