Job Description
The Administrative Support Assistant provides high level administrative support to the Fire Prevention and Investigation Officers within Strathcona County Emergency Services. This position requires a high level of demonstrated administrative skills with the ability to multi-task and adapt to changing priorities while working under pressure to meet deadlines as required. Excellent interpersonal skills are required to maintain professional and effective communication with emergency services leadership, other municipal departments, industry, residents and customers.
This posting is for 1 temporary full-time position up to 12 months
Key Responsibilities:
- Prepare draft meeting agendas, notes and minutes, guidelines and policies, presentations, and other ad-hoc reports following department and corporate standards, guidelines and policies
- Provide administrative support for all fire incident files and submission of monthly fire incident data, including statistical reports
- When requested, coordinate disclosure requests for insurance companies and law enforcement personnel. Create routine disclosure reports for any fire investigation information requests.
- Prepare letters and appropriate support documentation for false alarm responses.
- Support Fire Prevention and Investigation onboarding/orientation/offboarding, and related activities specific to Community Safety training
- In support to the Community Safety Administrative Assistant, draft, edit and format emails, letters and other correspondence to ensure consistent professional communication
- Maintain electronic and hard copy filing systems according to Strathcona County procedures
- Support quality system requirements through document control practices, documentation of quality system activities and following established
- Monitor the Fire Prevention email, calendar, and telephone inquiry line, providing accurate information or redirecting as required
- Act as a Fire Guardian to issue permits to the public, including fire and fireworks permit and provide ePermit technical support for staff
- Provide information and technical support to residents and troubleshoot on-line customer account issues
- In coordination with the department administrative team, provide in-person customer service coverage for station access, and monitor and respond to the Emergency Services main phone line and email
Qualifications and Skills:
- High School diploma with a minimum of 2 years related administrative experience
- Experience working in an emergency services department is considered an asset
- Thorough knowledge of SharePoint, Microsoft Word, Excel, PowerPoint, Outlook, Adobe, and other County specific systems such as County Connect, Camelot and Winchester
- General knowledge of fire prevention guidelines, standards and procedures (i.e. Alberta Fire Code), applicable municipal bylaws, and industry best practices is an asset
- Incident Command System (ICS) 100 and Basic Emergency Management (BEM) training is an asset
- Ability to analyze problems, identify alternative solutions, and make recommendations in support of department goals and objectives
- Experience in evaluating, recommending and implementing process improvements
- Ability to recognize matters of a confidential nature and handle in a discreet, professional manner
- Excellent interpersonal, written and verbal communication skills
- Ability to work with minimal supervision and within a team environment
