Job Description

The Director’s Administrative Assistant provides administrative leadership and coordination for the day-to-day operations within the Economic Development and Tourism Director’s office. The position will liaise with all levels of the organization along with external partners to support the department meeting its goals of building a strong, diversified and resilient economy while balancing social responsibility and environmental stewardship.  This role works within a dynamic work environment, with frequent interruptions and rapidly changing priorities.  

Key Responsibilities:

  • Provide administrative support to the Director; schedule and prepare meeting materials and logistics, track action items, research and coordinate information for reports and presentations  
  • Prepare department Executive Team and Council reports and issue briefs  
  • Draft internal meeting agendas, record and distribute minutes; ensure outstanding action items are noted and handled promptly  
  • Liaise with County departments and other administrative staff   
  • Coordinate department specific events, and assist with larger community events while engaging with external partners and organizations  
  • Maintain corporate credit card for the purposes of registering for conferences, arranging travel, catering, etc.  
  • Set up department Purchase Orders and receive all department invoices
  • Utilize eScribe to enter Council, Executive Team and Senior Leadership Team reports as required  
  • Coordinate and administer vacation planning, department learning and development requests, and Director delegations  
  • Lead administrative projects for the department, develop action plans and coordinate actions across the department    
  • Act as department forms representative and SharePoint administrator, providing subject matter expertise in determining appropriate site setup, meta data tagging, permissions, and ensuring appropriate retention and disposition is applied  


Qualifications and Skills:

  • Office administration diploma with a minimum of 5 years related senior administrative experience  
  • Experience working in an economic development and tourism environment is considered an asset  
  • Advanced working knowledge of Microsoft Word, Excel, PowerPoint and Outlook is required 
  • Experience with Oracle, Escribe and SharePoint is preferred  
  • Excellent communication skills, both verbal and written
  • Strong customer service when dealing with client groups, co-workers, the public, elected officials and senior management
