Job Description

Strathcona County is seeking a detail-oriented and proactive Project Coordinator to join our Fleet and Facility Management team. The Project Coordinator plays a key role in supporting the successful delivery of major construction and capital projects from initiation through closeout. In this role, you will be responsible for coordinating project activities, conducting technical reviews, and managing documentation to ensure projects progress efficiently and meet established standards. You will play a key part in maintaining schedules, supporting procurement processes, tracking financials, and coordinating site activities, all while ensuring alignment with County requirements, design intent, and applicable building, fire, and safety codes.

Key Responsibilities:

  • Support the planning, design, procurement, construction and closeout of operating and capital facility projects, including asset renewals, renovations, rehabilitations, modernizations, and new construction
  • Coordinate project start-up activities such as permitting, pre-planning, and the organization of project files and documentation  
  • Perform project planning, scheduling, progress tracking, cost control, and risk monitoring, ensuring alignment with project objectives and milestones  
  • Act as a central point of coordination between internal teams, consultants, contractors, and vendors to support effective communication, issue resolution, and timely decision-making
  • Lead on-site project activities as delegated, including site meetings, inspections, RFIs, change orders, QA/QC processes, and project closeout tasks
  • Conduct technical reviews of drawings, specifications, and submittals to ensure compliance with applicable codes, standards, and project requirements  
  • Perform detailed technical reviews of shop drawings and design submissions using digital platforms (e.g., Bluebeam, Autodesk) to confirm alignment with design intent, technical specifications and organizational standards  
  • Identify design inconsistencies, recommend solutions, and coordinate revisions with project consultants and contractors
  • Promote and ensure compliance with occupational health and safety legislation, Strathcona County policies, and site-specific safety requirements including participation in site safety activities, hazard assessments, and inspections
  • Manage and maintain comprehensive project documentation and document control systems, ensuring accuracy, traceability, and compliance with Strathcona County standards
  • Develop and maintain project reporting systems including schedules, cost tracking, status updates, change logs, and deficiency lists
  • Lead project meetings, including preparing agendas, facilitation, recording minutes, tracking action items, and ensuring timely follow-up  
  • Monitor and report on project progress, risks, variances, and emerging issues providing clear, timely updates to the Project Manager and project team members
  • Coordinate regulatory and sustainability documentation, including LEED submissions, environmental tracking, and compliance records
  • Administer and maintain digital project platforms (e.g., SharePoint and workflow systems) to ensure consistent and up-to-date records
  • Oversee quality assurance processes, including review of deliverables and management of project closeout documentation
  • Support capital and operating budget development, forecasting, and financial tracking in collaboration with the Project Manager.  
  • Assist with procurement and tendering processes, including scope development, bid administration, evaluations, and contract preparation
  • Review and process change orders, purchase orders, progress claims, and invoices for accuracy and contract compliance
  • Maintain accurate financial records and coding in accordance with procurement policies and audit requirements

 

Qualifications and Skills:

  • Degree or diploma in a related field such as Engineering, Architecture, or Project Management as well as 2 years related experience in project management
  • Demonstrated understanding of design and construction processes across multiple disciplines, including architectural, civil, structural, mechanical, and electrical
  • Proficiency with construction and design review platforms is considered an asset, including Bluebeam, Autodesk applications, and Microsoft Office Suite (including MS Project)
  • Strong organizational and coordination skills, with the ability to effectively apply project management principles, practices, and methodologies
  • Working knowledge of applicable building codes, legislation, regulations, and industry standards
  • Proven ability to build strong relationships with internal and external client groups

 

Conditions of Employment:

  • Valid Alberta Class 5 Driver’s licence and submission of a 5-year Driver’s Abstract with less than 7 demerits
