Administrative Support Assistant II
Financial Services
We are seeking an administrative assistant to provide administrative support, including confidential administrative support, to the Managers and staff of a highly active Financial Services Department.
Responsibilities
- Provide confidential administrative support to the Financial Services Managers in the area of budget and financial reporting processes by creating binders, organizing meetings, preparing presentations, organizing files, assisting with documentation processes and taking meeting minutes
- Provide administrative support to the department including travel arrangements, maintaining records of request and approvals for meetings, courses and conferences, processing donation receipts, contracts and payment vouchers, processing payroll and time reports, distributing mail, performing time entry and payroll processing and reconciling petty cash
- Provide Senior Administrative support during the absence of the Senior Administrative Assistant to the Financial Services Director
- Assist in the preparation of financial statements, council reports and council requests
- Safeguard letters of credit, maintain inventories of supplies and office equipment, create purchase orders, receive invoices, process expense claims, conduct general interoffice correspondence, maintain electronic and hard copy filing systems
- Photocopying, filing, maintaining kitchen area and organizing departmental events
Qualifications
- A high school diploma and Administrative Assistant certificate with two to three years of office experience. Experience in a municipal environment and with general accounting will be an asset
- Proficiency with office equipment; Word, Excel and PowerPoint; experience with JD Edwards, Crystal Reports, GroupWise and EDMS will be an asset
- Effective time management and organization skills to meet deadlines and coordinate a variety of activities
- Excellent interpersonal and customer service skills to communicate effectively with internal and external customers in a diplomatic, positive and professional manner
- Ability to deal with confidential and politically sensitive issues with discretion
- Ability to recognize and adapt to changing priorities, to show initiative and work with minimal supervision
The annual salary range for this permanent position is $36,487 to $45,609, working 35 hours per week.
